This privacy statement explains how we collect, store and use your personal data and data about you when you visit this or our other websites and when you transact with us. It also describes the types of data we collect, how we use this data to ensure we provide relevant and timely services to you, and your rights to control our use of that data.

This privacy statement applies to information collected by both LEAP representatives and online at leapsoftware.scot.

What personal information do we collect?

'Personal Information' is defined as information or an opinion relating to an individual which is reasonably identifiable, whether the information is true or not; and whether the information is recorded in a material form or not.

LEAP may collect personal information in order to conduct our business, to provideand market our services and to meet our legal obligations. The type of information we may collect and hold includes (but is not limited to) personal information about:

  • Clients, business associates and potential clients and their employees;
  • Suppliers and their employees; and
  • Prospective employees, employees and contractors.

Personal information may consist of names, addresses, contact details, occupations, company details and other information.

In many cases, if personal information we request is not provided, we may not be able to supply the relevant product or service. LEAP will use its best efforts to ensure that an individual is advised of the consequences of not providing the requested information. This may include individual collection statements.

In order to deliver the services you require, LEAP may disclose your personal information to organisations outside of LEAP. Your personal information is only disclosed to these organisations in relation to us providing our services to you. LEAP takes reasonable steps to ensure that these organisations are bound by confidentiality and privacy obligations in relation to the protection of your personal information.

LEAP will only collect and use information for the purpose exposed to the individual at the time of collection (via the respective individual collection statements). Organisations to which LEAP discloses information may include insurers, solicitors and LEAP commissioned mailing houses to enable the promotion of LEAP products and services.

LEAP takes reasonable steps to protect personal information held from misuse and loss and that all personal information remains secure from unauthorised access. LEAP will not send your personal information to recipients outside of the EU without obtaining your consent (in some cases consent will be implied).

LEAP will ensure that an equitable and unbiased complaint process is available to all individuals. The Quality Manager, will oversee this process. LEAP will make available to an individual on receipt of a formal request, the personal information collected from that individual. LEAP reserves the right to refuse a request to access personal information, where the identity of the individual making the request is in doubt, or where legal professional privilege exists or where LEAP's rights may be prejudiced.

LEAP will take all reasonable precautions to ensure the personal information it has collected from an individual remains correct and accurate. You can choose not to provide your personal information to LEAP, however it may mean that we are unable to provide you with the service required.

Website

Information that may identify you as a user may be gathered during your access with our website and this privacy statement details how such information is collected, stored and used.

LEAP collects information on website activity, such as the number of users who visit the website, the date and time of visits, the number of pages viewed and navigation patterns. This information does not identify the individual but it does provide us with detail we can use to improve our website.

Collection and use of information by LEAP

LEAP only collects contact details from individuals who have requested further information or services from us, we do not directly collect information from users of the website without the user's permission.

LEAP does not try to identify users or their browsing activities except, in the event of an investigation, where a law enforcement agency may exercise a warrant to inspect the service provider's logs.

When you contact us we may store information such as your name, company, postal address, telephone number, the type of request and possible further information in order to enable us to respond to your request. We will only use such personal information for the purpose for which it has been provided and in the course of conducting our business.

As a condition of your use of the services LEAP Provides, you authorise us to include your organisations name in our published list of customers.

We will not provide your information to any organisation outside of LEAP and will only send you information related to our products and services with your approval.

LEAP collects your personal information so that we can provide you with the service and any related services you may request. In doing so, LEAP may use the personal information we have collected from you for purposes related to the Services including to:

  • Verify your identity,
  • Administer the software,
  • Notify you of new or changed services offered in relation to the software,
  • Carry out marketing or training relating to the service,
  • Assist with the resolution of technical support issues or other issues relating to the software,
  • Comply with laws and regulations in applicable jurisdictions, and
  • Communicate with you.

By using the service, you consent to your personal information being collected, held and used in this way and for any other use you authorise. LEAP will only use your personal information for the purposes described in this policy or with your express permission.

It is your responsibility to keep your password to the software safe. You should notify us as soon as possible if you become aware of any misuse of your password, and immediately change your password within the software.

LEAP can aggregate your non-personally identifiable data

By using the software, you agree that LEAP can access, aggregate and use non- personally identifiable data LEAP has collected from you. This data will in no way identify you or any other individual.

LEAP may use this aggregated non-personally identifiable data to:

  • Assist us to better understand how our customers are using the software,
  • Provide our customers with further information regarding the uses and benefits of the software; and
  • Otherwise to improve the software.

You may request access to your personal information

It is your responsibility to ensure that the personal information you provide to us is accurate, complete and up-to-date. You may request access or request that we update or correct any personal information we hold about you, by setting out your request in writing and sending it to us at support@leap.co.uk

LEAP will process your request as soon as reasonably practicable, provided we are not otherwise prevented from doing so on legal grounds. If we are unable to meet your request, we will let you know why. For example, it may be necessary for us to deny your request if it would have an unreasonable impact on the privacy or affairs of other individuals, or if it is not reasonable and practicable for us to process your request in the manner you have requested.

We’ll only keep your personal information for as long as we require it for the purposes of providing you with the software. However, we may also be required to keep some of your personal information for specified periods of time, for example under certain laws relating to corporations, money laundering, and financial reporting legislation.

You can opt-out of any email communications

LEAP sends billing information, product information, service updates and notifications to you via email. Our emails will contain clear and obvious instructions describing how you can choose to be removed from any mailing list not essential to the software. LEAP will remove you at your request.

You are responsible for transfer of your data to third-party applications The software may allow you, the Subscriber, to transfer data, including your personal information, electronically to and from third-party applications. LEAP has no control over, and takes no responsibility for, the privacy practices or content of these applications. You are responsible for checking the privacy policy of any such applications so that you can be informed of how they will handle personal information.

Cookies

A 'cookie' is a piece of information that allows the server to identify and interact more effectively with your computer. The cookie assists us in identifying what our users find interesting on our website.

When you use our website we allocate you a unique identification number (cookie). A cookie will be allocated each time you use our website. The cookie does not identify you as a user in our data collection process. It does, however, identify your Internet Server Provider.

You can disable cookies from your browser and delete all cookies currently stored on your computer. However, this may restrict the functionality and your interaction with the LEAP websites.

Updating Our Privacy Statement

This Privacy Statement will be reviewed and updated from time to time so we recommend you revisit the privacy statement on a regular basis.
